Privacy Notice

1. Who we are

SeasonCrew HQ is operated by SeasonCrew Ltd ("we", "us", "our"). We provide a recruitment platform connecting seasonal hospitality employers with candidates, primarily for ski resort and alpine hospitality roles. This notice explains how we collect, use, and protect personal data in accordance with the Swiss Federal Act on Data Protection (nDSG, revised September 2023) and, where applicable, the EU General Data Protection Regulation (GDPR 2016/679).

2. Data we collect

2a. Candidates

When you apply for a role through SeasonCrew HQ, we collect:

  • Full name, email address, phone number, and nationality
  • Work permit status and accommodation preferences
  • Language proficiency levels (English, French, German, Spanish, Italian, and other)
  • Years of relevant experience and seasonal work history
  • Availability dates (start and end of season)
  • CV / résumé document (uploaded voluntarily)
  • Responses to role-specific criteria questions
  • Whether you have previously worked for the employer you are applying to

We do not collect age, date of birth, gender, ethnicity, religion, or any other special category data as defined under nDSG Art. 5(c) and GDPR Art. 9.

2b. Employers

When you register as an employer, we collect:

  • Contact name, business name, email address, and phone number
  • Business website, sectors of operation, and resorts of operation
  • Brand preferences (logo, colour, tone of voice)
  • Job posting content and hiring criteria you configure

2c. Technical data

We collect standard server logs (IP address, request timestamps, HTTP status codes) for security and debugging purposes. We do not use tracking cookies or third-party analytics.

4. Automated decision-making and scoring

SeasonCrew HQ uses a transparent, rule-based algorithm — not artificial intelligence — to calculate a match score for each application. The algorithm evaluates your profile against the specific requirements configured by the employer (language proficiency, experience, availability, and role-relevant skills) and produces a score out of 10. Your score will be shared with you after your application is submitted.

This score influences how your application is ranked and whether it is automatically filtered out for failing a mandatory requirement set by the employer (for example, not holding a required work permit). Every application is reviewed by a human employer before any hiring decision is made. The algorithm does not make hiring decisions — it assists the employer in prioritising their review.

If you have concerns about your score after receiving it, you may request a manual review by contacting us at [email protected] with the subject line "Manual review request". This right is guaranteed under nDSG Art. 21 and GDPR Art. 22.

The scoring algorithm does not use age, gender, ethnicity, or any protected characteristic as an input. All criteria are role-relevant (language proficiency, experience, availability, qualifications).

5. Who we share your data with

We share candidate data only with:

  • The employer you applied to — your application, score, and profile are visible to that employer only. Your data is never shared with other employers.
  • Our infrastructure providers — cloud hosting (Manus platform) and file storage (S3-compatible). These providers process data on our behalf under data processing agreements.
  • AI service providers — we use a large language model (LLM) to generate candidate summaries. Input data is limited to role-relevant information and is not used to train third-party models.

We do not sell, rent, or trade personal data. We do not use data for advertising.

6. How long we keep your data

7. Your rights

Under the nDSG and GDPR, you have the following rights regarding your personal data:

  • Right of access — request a copy of the data we hold about you
  • Right to rectification — request correction of inaccurate data
  • Right to erasure — request deletion of your data ("right to be forgotten")
  • Right to restriction — request that we limit processing of your data
  • Right to data portability — receive your data in a machine-readable format
  • Right to object — object to processing based on legitimate interest
  • Right to human review — request human review of any automated decision that significantly affects you

To exercise any of these rights, submit a request at seasoncrew.com/data-rights or email [email protected]. We will respond within 30 days. We may ask you to verify your identity before processing the request.

If you are unsatisfied with our response, you have the right to lodge a complaint with the Swiss Federal Data Protection and Information Commissioner (FDPIC) at edoeb.admin.ch, or with the supervisory authority in your EU member state of residence.

8. Security

We implement appropriate technical and organisational measures to protect personal data, including: encrypted connections (TLS), JWT-based session authentication, rate limiting on public endpoints, access controls limiting data to the relevant employer, and regular dependency security reviews. No system is perfectly secure; if you believe your data has been compromised, please contact us immediately.

9. International data transfers

Our infrastructure is hosted in the United States. Transfers of personal data from Switzerland or the EU to the US are made under appropriate safeguards (Standard Contractual Clauses or equivalent mechanisms recognised by the FDPIC). By submitting an application, you acknowledge that your data may be transferred and processed in the United States.

10. Changes to this notice

We may update this privacy notice from time to time. Material changes will be communicated via email (for registered employers) or via a notice on the application form (for candidates). The "last updated" date at the top of this page reflects the most recent revision.
